APS March Meeting Presenter Instructions
To connect the virtual and in-person audiences, APS has changed some of the procedures you will use to deliver your presentation. The instructions below will assist you in preparing the various components of your presentation for the March Meeting.
All Presenters
You must be registered for the meeting before you can upload your video, presentation, or poster.
After you log in, you will be directed to the Bulletin of the American Physical Society for the March Meeting. On the left sidebar, you should see a link, “Upload Presentation,” which will take you to the site to upload your materials
Invited Sessions, Workshops, Short Courses and Tutorials Presentations
All Invited Sessions, Workshops, Short Courses and Tutorials will be live streamed to the platform and recorded. These sessions will then be available for on-demand viewing. Any presenters that did not agree to be recorded will have their presentations edited out of the final video.
In-Person Presenters: They have one of three options for slide presentations:
- Upload a PowerPoint or PDF slides to the presentation system three (3) hours prior to their talk.
- Upload a PowerPoint or PDF slides to the presentation system by March 3.
- Connect a personal laptop in the session room with an audio visual switcher. They do NOT need to upload their slides to the presentation management system.
Remote Presenters: Speakers presenting remotely DO NOT need to upload their presentation slides to the system; they will be able to share their personal screen during their presentation. APS will send a link to the remote speaker waiting room ONE WEEK prior to the meeting.

Contributed and Focus Sessions Presentations
(Includes Invited Presenters in Focus Sessions)
APS will not be live streaming Contributed and Focus Session talks from the March Meeting, therefore, we request that all of these presenters upload an MP4 video of their talk. We make this request of ALL presenters, both in-person and pre-recorded.
This will expand the reach of the presentation and will make the meeting more inclusive and accessible for all attendees. Not all attendees can attend in person and we would like for the virtual audience to view as much as possible. The deadline for video uploads is March 3. If there is new data to be added, you can upload a revised video for one week after the meeting (March 21-27, 2022).
In-Person Presenters: They have one of three options for slide presentations:

- Upload a PowerPoint or PDF slides to the presentation system by March 3.
- Connect a personal laptop in the session room with an audio visual switcher. They do NOT need to upload their slides to the presentation management system. Please note that this file upload is in addition to the MP4 video for the virtual platform.
Remote Presenters: If a Contributed/Focus Session Presenter is unable to travel to Chicago, their video will be played during the in-person session. The Q&A will take place in a chat window on the virtual platform; attendees will be able to submit questions through March 18. Please check the chat box, on your presentation page, for new questions to respond to throughout the week of the meeting.

Poster Presenters
All poster presenters are asked to upload a PDF of their poster along with a 5-minute audio or video recording to the virtual platform. This way both remote and in-person attendees can review your presentation throughout the meeting.
In-person presenters: Maximum poster dimensions are (96 in. wide x 48 in. high). Posters should be hung after 10:00 a.m. CDT on the day of the presentation. For detailed information, including dimensions and best practices, check out Logistics for Poster Presenters on the APS website.
Remote presenters: Remote presenters will be able to connect with other remote attendees via the conference platform. APS will send instructions ONE WEEK prior to the meeting on how to do their one-on-one Q&As.
